This page helps you solve the most common email problems: messages that do not arrive, cannot be sent, or end up in spam.
I do not receive email
Check these in order:
- Is the mailbox full? Look at the Usage column in Email Accounts. Raise the quota or delete old messages (also Trash and Junk).
- Is the mailbox suspended? A suspended mailbox does not receive mail. Activate it in Email Accounts.
- Is there a forwarder with the same address? A forwarder takes over the address and mail is not kept in the mailbox. See Email Forwarders.
- Do the MX records point to this server? Check the domain in the DNS Zone Editor (or at your DNS host). The MX record should point to your domain or mail server on this server.
- Is Email Routing correct? It must be Local if your email is hosted here. See Email Routing.
- Is a filter moving or deleting the messages? Check Email Filters and the Junk folder.
I cannot send email
| Message or symptom | Fix |
|---|---|
| Email app asks for the password again and again | Check the username (full email address) and password, and switch on SMTP authentication in the app. |
| Relay access denied | SMTP authentication is not switched on in the email app. |
| Connection timed out on port 25 | Many internet providers block port 25. Use port 465 (SSL/TLS) as shown in Email Accounts. |
| Sending stops after many messages | Your package limits how many emails you can send per hour. Wait, or ask your provider. For newsletters use a mailing service. |
| Website forms do not send | Make sure the form sends from an address on your own domain and, if your email is hosted elsewhere, set Email Routing to Remote. |
My email goes to spam
Receivers trust mail more when your domain proves it is allowed to send it:
- SPF — a TXT record on
@starting withv=spf1that includes this server (and any other services that send for you). There must be only one SPF record. - DKIM — a TXT record on
default._domainkey. It is created by the server; do not change it. - DMARC — a TXT record on
_dmarc, for examplev=DMARC1; p=none.
Check them in the DNS Zone Editor. Also avoid sending from free addresses (Gmail, Yahoo) through your website, avoid spammy subject lines, and make sure your website is not infected (Antivirus Scan).
Email app problems
| Problem | Fix |
|---|---|
| Certificate warning | Use exactly the server name shown in Manual Settings in Email Accounts. |
| Messages only on one device | You are using POP3. Set up the account again with IMAP. |
| Folders missing | Subscribe to the folders in the app’s folder settings. |
Still stuck?
Contact your hosting provider with: the mailbox address, the sender and receiver of a failing message, the time it was sent and any bounce message (the full text of the returned email).
